What sorts of things do you need to consider when running an event internally, or outsourcing to a Professional Conference Organiser (PCO)?

Whether your group is small and intimate, or bigger than Ben Hur, you need to ensure you have covered off on some items that could be pivotal to the success of the program. Although the checklist will vary from AGM to Incentive group and everything in-between, we have listed here some of the main considerations when outsourcing your event to a PCO.

 
Insurance: Is your supplier adequately covered for liability and professional indemnity? Do they check that sub-contractors are adequately covered?
Do they have a reasonable contract in place without ambiguous terminology or ‘agent’ references?
Is the PCO resourced adequately with staff to provide sufficient and consistent service levels? What qualifications do they possess?
Do they operate a leading IT solution that is interactive to provide instant live data 24 x 7?
Do they provide references that are current and not more than 2 years old?
Do they rely solely on in house facilities for graphics, etc, or do they have the facility to provide competitive market quotes from a variety of suppliers?
Are they current members of a professional association body such as MEA (Meetings and Events Australia)?
